It is possible to add Deferred Payments to an Invoice, this will allow both the Business and the Purchaser to have a clear understanding of the terms of the payment.
To Activate
Under Admin / Defaults / Manage Customer Defaults - Activate Deferred Payments
To Use
Create the Invoice as usual, and select the payment option from the tabs at the top of the invoice.
Please see Deferred Payment When Logging in as POS as the process is slightly different if you are a POS user.
If the Customer is paying regular installments over a set number of months,
At the top of this screen is the option to enter Regular or Random Payments.
Regular Payments:
- A deposit can be entered and taken with the creation of this invoice
- How many months is this Payment going to be spread over? Enter this figure in the Total Payment
- Do you want to allow the Customer a number of months where the payment is not due, this figure needs to be included in the Total Payment Terms.
- Once the figures have been entered the software will automatically calculate the installments and give a summary, the final installment may be more or less than the regular installments, it is where the rounding is done.
Accept and Process the payment will show the Deferred Payment Set up screen once more.
Printing the Invoice will product two pages. The first page is the invoice as usual, the second page is the Deferred Payment Schedule. It clearly shows the Payments as the are due.
Random Payments:
- Up to 10 Payments dates can be entered of varying amounts
- The Balance to Allocate will show the remaining balance left to be allocated.
Accept and Process the payment will show the Deferred Payment Set up screen once more.
Printing the Invoice will produce two pages. The first page is the invoice as usual, the second page is the Deferred Payment Schedule. It clearly shows the Payments as the are due.
We also recommend going to the Customer Account to change the Statement Layout to Open Item - With Deferred Invoices
This Layout will show the Customer which Installments are due at what date. The Installments with the asterisk are not due until the date shown.
