When a cash drawer has been processed with a variance, the value of the variance goes to the Unders and Overs General Ledger (GL) Account which was selected in the POS Defaults for the cash drawer.
If the Variance was Positive then the value in the GL Unders and Overs Account will be a Credit. If the variance was a negative the value in the account will be a Debit.
The value of the variance can be redistributed to General Ledger Accounts using either a Cashbook Payment, a Cashbook Receipt or a Journal. In all cases the GST code on every line should be ‘X’.
Journal
Positive Variance:
Debit the Unders and Overs GL Account
Credit the Expense GL Account
Negative Variance:
Credit the Unders and Overs GL Account
Debit the Expense GL Account
Cashbook Payment
Positive Variance:
Enter a positive value against the Unders and Overs GL Account
Enter a negative value against the Expense GL Account
Negative Variance:
Enter a negative value against the Unders and Overs GL Account
Enter a positive value against the Expense GL Account
Cashbook Receipt
Positive Variance:
Enter a negative value against the Unders and Overs GL Account
Enter a positive value against the Expense GL Account
Negative Variance:
Enter a positive value against the Unders and Overs GL Account
Enter a negative value against the Expense GL Account
