We originally received an invoice from Stevens Products for a Wholegood mower but, we now wish to transfer it to their Lightning Finance account. This may happen several months after the original invoice or products on Floor Plan.
Solution
Check to see that this invoice remains unpaid, then right click on the Supplier Invoice to check the Audit to see the GL account that the Mower was originally charged to.
In the example below, we are looking at the G/L Transaction File section and PUR is the account. In some cases this may be a number.
Go to Suppliers / New Invoices (No Products) search for Stevens and enter a new invoice using the same date, order number, Supplier Invoice, etc. The G/L ID is PUR from above and the Qty is -1.
We are crediting the value of the original invoice but leaving the product receipted. Under Invoice Notes enter why you are crediting this. Select Process. You will get a warning to say the invoice number has been used, that is fine.
Do the same process for Lightning Products but Qty as 1. Under Notes this time enter the Product Details, Description and Serial number.
Everything here should look like the invoice from Lightning Finance.
This process is moving the balance for the products from Stevens Products account to the Lightning Finance account, so that our Aged Trial Balance now reflects who we owe the balance to, and leaving the stock untouched.
